Executive Assistant to Jackie Rotman

Part-time (Hourly), Remote

Approximately 20 hours/week, with potential to increase to 30 hours/week

About the Role

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-quality administrative and strategic support to Jackie Rotman across her professional and personal projects, communications, scheduling, and day-to-day operations.

This role is ideal for someone who is dependable, resourceful, discreet, and comfortable managing both daily logistics and higher-level coordination. The Executive Assistant will help ensure that Jackie’s projects, priorities, and communications are managed smoothly and effectively.

The right person will be excellent at anticipating needs, following through, communicating clearly, and creating systems that make work more effective.

Key Responsibilities

The Executive Assistant will support Jackie’s overall work across 3 areas:

  1. A portion of time will be dedicated to supporting administrative activities for the women’s rights organization Jackie founded and leads, the Center for Intimacy Justice.

  2. Another portion will support Jackie’s personal activities, such as appointments, travel, and other areas.

  3. The last portion will support Jackie’s work in the intuition, mindsight, and spirituality/consciousness fields, including support for courses Jackie teaches in intuition as well as other projects.

Responsibilities will include:

  • Track tasks, deadlines, and action items across multiple projects

  • Coordinate calls, appointments, travel, and events as needed

  • Support inbox and email management

  • Assist with personal or executive logistics when relevant

  • Serve as a trusted point of contact for vendors, partners, clients, and team members

  • Organize files, contacts, records, and administrative systems

  • Identify ways to improve workflows, systems, and organization

  • Support internal and external communications with professionalism and discretion

  • Support social media posts and potentially help implement a social media calendar

  • Conduct research as needed

  • Potentially support reimbursement-related or financial organization tasks

Qualifications

  • Strong organizational skills and attention to detail

  • Excellent written and verbal communication skills

  • Ability to manage multiple priorities and follow through without extensive oversight

  • High level of discretion, professionalism, and judgment

  • Comfort working independently, taking initiative, and communicating concisely and efficiently

  • Strong problem-solving skills and ability to anticipate needs

  • Proficiency with tools such as Google Workspace, Microsoft Office, Zoom, Slack, task management systems, or similar platforms

  • Ability to remain calm, flexible, and solutions-oriented in fast-moving environments

  • Prior experience as an executive assistant, administrative assistant, operations coordinator, or similar role is a plus (but not required)

Schedule and Location

This position will be part-time (approximately 20 hours/week) and remote. The candidate should have significant overlap with the Pacific Time Zone.

Compensation

Compensation will be based on experience, scope of responsibilities, and schedule. For candidates based in the United States, compensation starts at $25/hour, with some flexibility for candidates who bring significant relevant experience.
